How to Onboard a Virtual Assistant in Your First Two Weeks

By the VA Expert Pro team 5 min read

A good start makes all the difference. Here's a simple, practical plan for handing over work to a new virtual assistant without the stress.

Hiring a virtual assistant is only the first step. The way you onboard them determines how quickly they become genuinely useful. A little structure in the first two weeks saves a lot of back-and-forth later.

Before day one

  • List the tasks you want to hand over, starting with the most repetitive
  • Set up individual logins for your VA rather than sharing passwords
  • Choose one place for tasks and instructions, such as Asana, Trello or a shared document

Week one: learn and shadow

Start with two or three well-defined tasks. Record short screen-share videos showing how you do them; tools such as Loom make this quick. Ask your VA to turn your videos into written steps, which become the start of your process library.

Week two: take ownership

Once the first tasks are running smoothly, hand over full ownership and add the next set. Agree clear escalation rules: what your VA can decide alone, and what must come to you.

Set a communication rhythm

A short daily update and a weekly review call work well for most businesses. Over time, the daily updates can become lighter as trust builds.

Measure and expand

After a month, review which tasks have been fully handed over and how much time you have reclaimed. Most business owners discover several more areas where their VA can help.
